1. The information we collect

When you register for our charity run, we collect:

• Your name, email address and phone number
• Emergency contact details (name and phone number of someone else that we can contact)
• Payment information (We do not store this informarion and it is processed securely by Stripe our payment provider)

2. How we use your information

We use your data to:

• Process your registration and manage the event
• Contact you about important event information
• Ensure your safety during the event (emergency contacts)

3. Data retention

We will keep your information only as long as necessary:

• Registration details: 1 year after the event
• Emergency contact details: Will be deleted on 22nd September 2025

4. Your rights

You have the right to:

• Request a copy of your personal data
• Ask us to correct inaccurate information
• Request deletion of your data (where applicable)
• Withdraw consent for communications

5. Photos and filming

Professional photographers will be capturing images and/or video throughout the event for use in our promotional materials, including social media, websites, and future marketing campaigns. If you do not wish to appear in any photographs, please notify our staff at check-in and we will provide you with a distinctive mark to help our photographers identify your preference. We kindly ask participants opting out of photography to avoid the main camera areas during official photo opportunities.

6. Data sharing

We only share data with:

• Medical teams in case of emergency
• Our payment processor for donations and entry fees

We never sell your data to third parties.
